Agentry Inc. ("we", "us", or "our") operates the VitalNoteAI mobile application (the "App"). This Privacy Policy explains how we collect, use, and protect information when you use VitalNoteAI.
When you create an account we collect your email address and, optionally, a display name. This information is stored in Firebase Authentication.
When you record a consultation, audio is captured on your device and transmitted securely over HTTPS to our transcription provider (Groq) solely to generate a text transcript. Audio is not stored on our servers after transcription is complete. If you enable "Auto-Delete Audio" in settings, the local audio file is also deleted immediately after analysis.
Generated SOAP notes are stored locally on your device. They are not uploaded to Agentry servers unless you explicitly share them (e.g., PDF export via the system share sheet).
We store anonymised session counts and recording durations in your device's secure storage to power the Dashboard stats (sessions, time saved). This data never leaves your device.
Your plan tier and subscription expiry are stored in Firebase Firestore, linked to your user ID, to enforce usage limits and grant Pro access.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Account data is retained for as long as your account is active. You may request deletion of your account and all associated data by emailing agentryinc@gmail.com. Audio recordings are never stored beyond the duration of a single API call.
All data in transit is encrypted using TLS. Firebase data is protected by Firestore Security Rules. We follow HIPAA-aligned minimum-data-retention principles — we store the least amount of information necessary to deliver the service.
VitalNoteAI is intended for licensed healthcare professionals aged 18 and above. We do not knowingly collect data from minors.
We may update this Privacy Policy from time to time. The "Effective Date" at the top of this page will reflect the latest revision. Continued use of the App after changes constitutes acceptance of the revised policy.

These Terms of Service ("Terms") govern your use of the VitalNoteAI mobile application and website operated by Agentry Inc. By downloading, installing, or using VitalNoteAI you agree to these Terms.
By creating an account or using the App you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the App.
VitalNoteAI is designed exclusively for licensed healthcare professionals (physicians, nurses, nurse practitioners, physician assistants, and other clinicians). By using the App you represent that you hold an appropriate clinical licence in your jurisdiction.
VitalNoteAI is a documentation tool, not a medical device. AI-generated SOAP notes are drafts only. They may contain errors, omissions, or clinically significant inaccuracies. You are solely responsible for reviewing, correcting, and approving every note before it is used in patient care, entered into an EHR, or shared with any third party. Do not use this App in emergency situations — call emergency services immediately.
The Free tier provides 10 SOAP notes per month at no charge. Pro subscriptions are billed monthly at $19/month (or equivalent) and processed via our website at agentryinc.com. Subscription payments are not collected inside the App. Refunds are handled on a case-by-case basis; contact agentryinc@gmail.com within 7 days of a charge if you believe an error has occurred.

Agentry Inc. is not a HIPAA-covered entity and does not offer a Business Associate Agreement (BAA) at this time. You are responsible for ensuring your use of the App complies with applicable patient privacy laws in your jurisdiction, including obtaining appropriate patient consent before recording consultations.
All rights in the App, its design, and underlying technology are owned by Agentry Inc. SOAP notes generated by the App from your transcripts are yours to use in your clinical practice. You grant Agentry Inc. no rights to patient data.
To the maximum extent permitted by applicable law, Agentry Inc. and its officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App, including but not limited to clinical errors arising from AI-generated notes.
We reserve the right to suspend or terminate your account at any time for violation of these Terms. You may delete your account at any time by emailing agentryinc@gmail.com.
These Terms are governed by the laws of India. Any disputes shall be resolved in the courts of Bengaluru, Karnataka.
We may update these Terms at any time. The "Effective Date" above reflects the latest revision. Continued use after changes constitutes your acceptance.
